Welcome to your new smartphone

This course is designed for mobile professionals, small business owners, and executives who are looking for a feature-rich phone that's easy enough for the average user to understand yet powerful enough to enable users to get work done anywhere, any time.

By the time you complete this lesson, you will:

  • Understand the advantages a smartphone offers over other mobile devices
  • See real-world examples of how smartphones help get business done better
  • Learn what you can do with your smartphone and how it can increase your productivity both in and out of the office

Once you've learned the necessary basics on smartphones in general, you'll take a closer look at how easy it is to get up and running with the email, contacts, and calendar applications on the iPAQ 510. You'll also learn about more advanced features, then take a look at some bundled hardware that can further enhance your productivity.

What is a smartphone?

A smartphone is a converged device -- a combination cell phone, contact manager, and email manager that also enables users to view and edit many types of attachments – and comes complete with Microsoft's latest powerful mobile operating system, Windows Mobile 6.

Some smartphones have full QWERTY keyboards; others, like the HP iPAQ 510, feature 12-key keypads. The 12-key solution is familiar to traditional cell phone users and often is the keyboard of choice if you prefer a smaller device that can fit easily into your pocket. Two basic data input options are available with most 12-key solutions:

  • With triple tap, you'll tap a single key once, twice, or three times to input a letter. For example, you'll tap the #2 key to input the letter "a," "b," or "c."
  • T9 predictive typing suggests words early in the typing which can reduce the number of keystrokes required.

You may consider purchasing a third-party software such as Adaptxt that enhances the T9 predictive typing experience by reducing the number of keystrokes up to 50 percent by recognizing most commonly used words. Adaptxt's software also enables users to add, for example, industry-specific words to the dictionary by scanning text of your choice.

Often, heavy data users -- those who spend a lot of time using their mobile devices for work -- prefer the full QWERTY keyboard with a larger screen. Personal choice will dictate your purchase decision.

If you prefer a small device size but would occasionally like to use the device for more time-consuming work, such as revising documents and composing longer emails, consider a foldable Bluetooth keyboard to give you the advantage of typing with all 10 fingers.

Most business professionals need a smartphone that will integrate seamlessly with the office software they already know and use regularly. A smartphone running the Windows Mobile OS ensures that Microsoft Office documents, spreadsheets, email, and other information can be transferred from computer to phone and back again with no compatibility issues.

Who can benefit from using a smartphone?

A smartphone is a smart choice for on-the-go business professionals who need to stay connected with the office even when they're out and about. A smartphone can help you if you've ever wished you could:

  • Carry a single device that is a phone and also offers easy and real-time access to all your updated contacts, schedules, and tasks to keep you up-to-date with access to critical time-sensitive information
  • Manage your email easily from your phone, and even reply to email with a voice (.wav) file when you're driving from meeting to meeting
  • Open a Word document, make a few quick edits, then send a final version to your client while you're waiting for your plane to be cleared for takeoff
  • Review the newest slides your development manager just added to your PowerPoint presentation while you're in the cab on the way to a meeting
  • Drop the very latest numbers into your Excel spreadsheet to get a new final budget number just before you meet with your financial team
  • Access the internet quickly on your single and handy small device

Important work can't always wait until you're back in the office. With a smartphone, you have access to data in real time via push technology, so you can manage your work on your own terms -- according to your priorities -- no matter where you are.

Any office that already offers Outlook Web Access to users already has all the necessary capabilities to support real-time email access and synchronization to Windows Mobile smartphone users. Let's take a look at how you could put a smartphone to work for you in the real world.

Commuting conundrum

You're stuck in slow-moving traffic thanks to an overturned truck blocking three lanes on the freeway, but this won't slow you down! You can:

  • Be productive: Your morning emails are piling up. You read each one as it comes in, but you can't take your eyes off the road for the time it would take to reply. No worries. The iPAQ 510 offers a voice reply shortcut feature that enables one-touch recording of a sound file (in .wav format) with your reply. The file is emailed as an attachment that the recipient can play to hear your response. By the time you get to your office, you've handled many urgent requests. Now, you can sit down and go straight to work instead of losing the rest of your morning playing catch-up.
  • Escape: Launch Windows Live Search to get maps, turn-by-turn directions, and traffic status so you arrive at work before everyone else who is still stuck in the traffic jam.

Update your calendar in real time

The meeting with your client is running long -- but you're also about to secure an additional sale. It's not the best moment for you to step out to call your assistant to rearrange your schedule. Instead, make real-time calendar changes from your phone that your assistant can access from her own screen.

Present material via projector

With third-party software you can easily present PowerPoint slides to a group by connecting to the projector in the room and sending the whole document to one of the available wireless printers. Use an SD (secure digital) card to edit, store, and carry large documents and to pass them onto others easily.

Establish work/life balance

Work and family collide, and you're cheering on your children at their after-school activities. Your smartphone enables you to access multiple email accounts for both personal and business, which means you can arrange plans for social activities on-the-fly, send updates via email as you learn of them, and stay connected to your office even while you're bonding with the kids.

The iPAQ 510 packs big functionality into a compact, yet incredibly capable device. The next section shows you how easy it is to get started with your iPAQ 510 smartphone.

The iPAQ 510 is an unlocked device, which means that you can use it with any GSM (Global System for Mobile communications) or GPRS (General Packet Radio Service) cellular provider. Network providers run on either CDMA (code division multiple access) networks or GSM/GPRS networks. Eighty-five percent of carriers worldwide use GSM networks.

Visit the GSM World website to learn more about GSM/GPRS and EDGE (Enhanced Data for Global Evolution) and to view a list of carriers that run on this network.

Check with your current provider to find out if their network runs on GSM/GPRS or CDMA. The iPAQ 510 works only on GSM/GPRS subscriber networks. If you currently are using a GSM/GPRS provider, you likely won't need to cancel your current service or sign a new long-term contract. If you're subscribed to only a voice plan, you'll need to add data transmission service at an additional cost for the ability to send and receive data and to access the internet. Once you're set up, just drop the SIM card from your old phone into your new iPAQ 510 and go.

SIM card setup

Follow the provider's instructions to shut down your old phone and remove the SIM card.

Your SIM card tells your phone your cellular number and the network that provides your service. It can also store your contact and calendar information. Check the instructions for your old phone to determine how to save your information directly to your SIM card.

To insert your SIM into your iPAQ 510, follow these steps:

  1. Flip the iPAQ 510 over and press the release button on the battery cover while you slide the cover down and away from the phone.
  2. Remove the battery, if it is already in place.
  3. Place the SIM card in the provided slot, making sure that the metal contacts are facing down and the notched corner is in the correct position.
  4. Align the battery connectors on the battery with the housing pins in the battery compartment and insert the battery.
  5. Place the battery cover down and slide up until it clicks into place.
  6. Connect your iPAQ and PC using the mini-USB cable, then recharge your iPAQ.
Demo 1-1: Inserting your SIM into the iPAQ 510.

Email, contact, and calendar setup

The iPAQ 510 makes it simple for you to set up your email, contact, and calendar information quickly and easily. If you use an Exchange Server at work, your mail, contacts, and calendar can be automatically synched with your office computer.

You may need to get your Outlook Web Access server address from your IT department.

To sync your iPAQ 510 with your Exchange Server, follow these steps:

  1. Press Start > Messaging > New Email Account.
  2. In the Your E-mail Source box, click Exchange Server.
  3. Enter the requested information and follow the prompts to configure your email.
  4. Select the items you want to synchronize via Exchange Server -- your contacts and calendar, for example.
  5. Click Finish when you're done.
Demo 1-2: Setting up email, contacts, and calendar.

Windows Mobile 6

Because the iPAQ 510 uses the all-new Windows Mobile 6 platform, the entire mobile experience is enhanced. You can:

  • Read email messages in their original HTML format, including pictures, tables, and live links to web and Microsoft Office SharePoint sites.
  • Search emails by subject or name.
  • View and edit Word Mobile and Excel Mobile or view and practice slide presentations with Microsoft Office PowerPoint Mobile while you're on the road.
  • Search your call history and contacts database.
  • Use a single sign-on to Windows Live services, Windows Live Messenger, Windows Live Mail, Hotmail, and Windows Live Search.

Shortcut setup

Your iPAQ offers 10 customizable shortcuts -- one-key access to your most commonly used applications or tasks. By taking advantage of these shortcuts, you'll be able to get the most from your iPAQ even when you have only one free hand.

You can assign shortcuts to perform typical tasks that otherwise require several clicks, or to launch your most frequently used applications -- you don't have to use the device defaults.

To create a shortcut, follow these steps:

  1. Press Shortcuts.
  2. Scroll to the shortcut you want to edit.
  3. Press Menu > Edit.
  4. Scroll to Select new target, then press the Action button.
  5. Follow the prompts to create your shortcut, then save your changes when you're finished.
Demo 1-3: Setting up shortcuts to your favorite applications.

To modify the name of your new shortcut, specify a new name in the Shortcut name box and press Save.

Voice Commander

HP's Voice Commander feature, when using an email account with Microsoft Office Outlook Mobile, lets you verbally command your iPAQ 510 to look up and dial contacts, compose voice emails, get calendar information, play and control your music, and launch applications via voice commands. Just press the Voice Commander button, wait for the audio cue, and speak your command. There are 20 of these commands and you don't have to train the device to recognize your voice.

Voice Reply

In addition to the Voice Commander, which lets you access all the information and applications on your smartphone, your HP iPAQ also offers a Voice Reply option. Use this feature with any email account to speak your reply to email using just your voice and one free hand. Your message is recorded as a .wav file and sent as an attachment that the recipient can play.
